User Management of the Development Zone – You can do it!

Overview

It is imperative that you can manage the User's accounts within the Development Zone. This area of the Development Zone gives the administrator the ability to both add new User accounts and manage existing accounts (including being able to deactivate and reactivate accounts).

Adding a User Account

You can access the functions to add a new User account from nu admin, select "User Management" and then "Add a User Account" option.

Before you can add a new User you are required to select the Broker that the User belongs to. To achieve this you are presented with a list of all the current Brokers on the system, simply find and select the broker of your choice.

You should complete the form with the information as detailed below.

Salutation
This is the salutation used when addressing the User, for example Mr, Mrs, Ms, Dr etc. This list is generated from a dataset, an LRI only function.)
First name
Enter the Users' first name.
Surname
Enter the Users' surname.
Job title
Enter the users' job title.
Telephone
Enter the Users' telephone number.
Mobile
Enter the Users' mobile telephone number.
Email
Enter the Users' email address. This field is extremely important as it is used within the application to generate and send emails at key times.
Organisation
Enter the Users' organisation.
Username (shown on the security tab)
Enter the username you are assigning to the User. It is recommended that this should not be less than six characters in length.
Password (shown on the security tab)
Enter the password you are assigning to the user. It is recommended that this should not be less than six characters in length and should contain at least one numeric character, for example "myPa33word".
User Permission (shown on the security tab)
Every User of the application needs to be assigned an access level in order that they may use the Development Zone, they also need to be given access to the Development Zone itself. It is the responsibility of the administrator to assign an access level that is appropriate to that User. The access levels operate as follows:
User
The User may only access the functions available within the Library of the Development Zone (once they are logged into the Development Zone)
Middle Manager
As per user but can also access the Training Needs Analysis Tool.
Broker Manager
As per middle manager but can also access the broker administration functions, such as add learning plans to Users. Broker Managers can only view information relating to their own Brokerage.
Training Manager
As per broker manager but can view information for all the Brokers within a given group.

Once you have completed all of the above form elements, please select "add user" in the actions area at the bottom, right of the screen to add your new User. If any errors occur whilst processing the data you have just input, these will be represented to you at the top of the form giving a description of the error.

Assuming that you have completed adding a User account successfully, you will be taken to the view of the User account you have just added (see Viewing a User account for further details).

Viewing a User account

Once you have added a User account you will be redirected to a view or display of the information you have just entered. This allows you to view and confirm the information you input, with the ability to perform various actions on the newly added record. These actions are also available if you are viewing a User account at any point after adding as well.

Dependant upon the "status" of the User account that you are looking at, the appropriate actions will be displayed within the actions section of your current page.

If the User account is "active" for use within the site (i.e. the username and password will allow the user to access the specified functions), you have the option to deactivate the account by selecting "make unavailable" (thus removing the users access but not physically deleting the account) the account. Conversely, if the User account is "deactivated" for use, you have the option to activate the account by selecting "make available".

Edit an existing User Account

The process for editing an existing User account within the Development Zone is exactly the same as adding a new User account, with the exception that all of the form fields will be pre-populated with the data from the item that you are editing. To edit an existing User account, you first need to find the User account that you wish to edit. This can be achieved as follows:-

  • From nu admin select "User Management" and select the appropriate "Manage existing…" option.*
  • In the list of User accounts find the item you wish to edit
  • Select the "Surname" of the relevant item in the list

This will open the "view" or "display" of the User account (see previous section), where you are able to see all of the information. Select "update user" within the actions section of the page and you will be directed to the edit User account page. Complete the details of the User account and click on "update user" to save your changes.

* You will prompted to select the appropriate user's Broker.

Giving a User Permission and Access to The Development Zone

The process for authorising a user is exactly the same as adding a new User account, with the exception that all of the form fields will be pre-populated with the data from the item that you are editing. To give access to a user who has been registered, you first need to find the registration information that you wish to edit. This can be achieved as follows:-

  • From nu admin click on "User Management" and select the appropriate "Manage existing…" option.
  • In the list of Users accounts, find the item you wish to edit
  • Click on the "Surname" of the relevant item in the list
  • Click the "update user" link
  • Click on the "Security tab"

This will open the security information page, from the dropdown list find the "Development Zone User". Select the "update user" and the selected user permissions level will be set against the user.
